The role of Office Specialist requires a High School diploma or equivalent.
Receptionist experience with multi-line phone system, accurate typing at 50 wpm, basic computer knowledge and medical front office experience.
Under the immediate supervision of the Program Director/Supervisor, the Office Specialist performs routine clerical duties related to the general office functions of the agency, checks clients in promptly and relays messages to staff, reschedules clients as necessary, and schedules next appointment before client departs, responds to inquiries from clients, students, patients and the public about specific agency/program information and services; directs inquiries as necessary; explains or clarifies rules, processes, and procedures to clientele; provides information about services available; receives incoming calls and routes to appropriate staff.
The starting hourly rate for Office Specialist is $16.

Example of Position
Responsibilities:
Schedule, reschedule prescriber appointments and return visits.
Notify prescribers of daily cancellations.
Contact no-shows and reschedule.
Answer general questions regarding agency services.
Produce and distribute correspondence memos, letters, faxes and forms on behalf of medical prescribers.
Provide coverage to other areas as requested by supervisor, such as making copies for other departments, alphabetizing for medical records, separating the demographics page from the application; etc.
Data entry (i.
e.
medical records logs, etc.
) and problem-solving error in data entry.
Submission of client laboratory paperwork to appropriate outside service providers.
Assist Med Clinic Supervisor in administration duties, reference checks on prospective employees, scanning documents, contacting outside sources.
Other Duties:
Perform other duties as assigned by the Medication Clinic Program Director and Clinical Director.
Physical Requirements:
Requires ability to perform blood draws and other lab testing.
Must be able to move from location to location, bending, stooping, lifting 15 pounds, communicate clearly, complete documentation logs, prepare written communications, effectively present information to others, e.
g clients and employees, process complex information within established procedures/programs, enter data to various programs, electronic or manually.
